Application Guidelines

Synerugoi Camp is a camp open to anyone.
Please check the following information and then proceed to apply for participation.

【1】Date, Venue, Accommodation, Access

February 27th (Tue) to February 29th (Thu), 2024: Three-day and two-night trip

■ Major Access to the Venue (Meeting and Dismissal at the Venue)

Direct reserved bus from Tokyo Antioch Church to Hotel Green Plaza Hakuba (Paid, requires reservation)

Shuttle bus from JR Minami-Otari Station to Hotel Green Plaza Hakuba (8-9 times a day, free, no reservation required)

JR Nagano Station to Hotel Green Plaza Hakuba route bus (Only once a day, paid, reservation required through Alpico Transport, strictly by reservation only)

If you arrive after 4:00 PM, please contact the committee in advance with your estimated arrival time.

Online Participation

If on-site participation is difficult, you can participate online. All conferences will be live-streamed on the internet (except for some seminars, which can also be viewed through recording).

Note that the camp conferences will not be freely available online; only those who have registered for the camp can view them.

14th Hakuba Christian Film Festival (HCFF)

Screening and award ceremony of HCFF-winning works judged online will take place.

Skiing, Snowboarding

Enjoy skiing, snowboarding (additional cost), and snow activities (free for kids and families; activities are paid) directly at the hotel’s slopes.
Note that there are no skiing or snowboarding lessons organized by the camp.

Night Various Seminars

After the night conference, various seminars such as IT and music will be held (paid, some available for online participation).

【3】About Conferences

In this Synerugoi Camp, the capacity of the meeting venue will return to the regular limit.

Wearing masks is optional. Temperature checks and disinfection will not be conducted.

Those who would like to do so can participate in the meeting from their rooms (accommodations) online.

Local participants can also watch the meeting online. Although a separate application for online streaming is not required, participants are responsible for the internet communication fees incurred while watching.

【4】CS (Children's Program), Mother-Child Room

CS will be conducted at this Synerogi Camp, but due to venue constraints, it will take the following form:

Target audience: Elementary school students.
If you would like to bring a child aged 3 or older, be sure to accompany them as a parent.
CS will only be held during the Opening Conference, Night Conferences, and Film Festival.
There will be no CS during the Morning Conferences or Intensive Course on the Practice of Gifts.

For babies and their parents, there is a mother-child room with a monitor.

【5】Online Participation Guide

For those who find it difficult to participate on-site, you can join online.

The conditions for online participation are as follows:
Requirements: A device connected to the internet, such as a PC or smartphone.
Email address (required)

Cost: Participation registration fee (Separate fees apply for the various paid night seminars for voluntary participation.) Please note that you will be responsible for all expenses connected to the internet.

All conferences, seminars in the Intensive Course on the Practice of Gifts, and the Hakuba Christian Film Festival can be viewed through live streaming. In case of trouble with live streaming, you can also watch the recordings (available for two weeks after the camp ends).

Night seminars after the Holy Conferences can only be attended online as a rule. Therefore, please be aware that you cannot attend multiple seminars held simultaneously at the same time.

Additionally, some seminars with only the lecturer’s lectures recorded can be viewed later. For more information, please check the details of the various seminars to be announced later.

【6】Camp Participation Fees

You can choose to participate on-site and stay or participate online from two options.

① Participation registration fee (common for on-site and online participation)

Adults: ¥5,000
Middle and high school students: ¥3,000
Elementary school students and preschoolers: ¥2,000
Ages 2 and under: ¥1,000

The participation registration fee is separate from the accommodation fee. It will be used for injury insurance (for on-site participants only), venue fees, equipment rental and transportation fees, lecturer fees, administrative communication fees, and internet connection fees for online streaming.

Please note that the fee is non-refundable even if you cancel the camp, but you can transfer it to another person.

If you cancel the camp but want to participate again, the application fee already paid will be valid.

All on-site participants will be enrolled in injury insurance.

② Accommodation Fee, Meals (for on-site participants only)

The accommodation fee, covering room charges, meals, and venue usage fees, will be paid to the hotel in full for those participating in the camp on-site. If you plan to participate locally, please apply for accommodation through the camp committee. (Please refrain from making individual hotel reservations or using other accommodations.)

Buffet meals will be provided for breakfast and dinner.
Lunch options include no lunch (individual choice) or lunch with curry rice and a mini salad on February 28.

There are no discount options for breakfast and dinner due to partial absence.

Children aged 2 and under stay for free, but insurance enrollment, participation registration, and registration fees are required.

Due to the impact of high prices, accommodation fees have increased.

Children under 2 do not count towards the room occupancy. The number is counted based on the number of paying guests.

If using one room for a group, you can choose from the courses in the table above.

For those who want to share a room, please apply for a 4 or more people per room course.

The 2-3 people per room course can only be selected if using one room as a family or group of friends. Those who wish to share a room can only choose the 4 or more people per room course.
For partial participation or other situations not covered above, please contact the organizing committee.

【7】Room Allocation, Early Check-in/Late Check-out

Rooms are mainly for 4 people, with a maximum of 5 people.
There are also 7-person rooms available for families.

Please contact us at the time of application if you have any preferences for room allocation. Please note that we may not be able to accommodate all requests.

If you want to change your room allocation after applying, we will accept requests until February 14th (Wednesday).

Changes after this date may not be possible, so please be aware of this.

If you want to have an early check-in/late check-out, an additional fee (¥1,500 per hour per room including tax) will be charged. Advance application is required. However, the number of rooms that the hotel can accommodate is limited, and availability depends on the room usage around the accommodation date. Please understand this.

【8】Skiing and Snowboarding

For those planning to ski or snowboard, please check the details on the skiing and snowboarding page and submit the “Skiing and Snowboarding Application Form” by February 13th (Tuesday).

Since this is a group rate, applications must be made through the committee. Payment will be made on-site.

【9】Application and Payment

① Please apply using the Camp On-site/Online Participation Application Form.

Your email address will be used for various communications related to camp participation (room number, meal times, etc.), so please register an email address that you can check regularly during the camp. (Even for families, if each person has their own email address, please register each one if possible.)

If online application is difficult, we can assist with input by phone or act on your behalf.

In the case of applying by phone, the online application site will still be used by the organizing committee for registration. Once input, a confirmation email will be sent to the registered email address.

② Please transfer the participation registration fee.

Accommodation fees can also be transferred along with the participation registration fee.

③ Please inform us of the transfer details using the Transfer Completion Notification Form.

Please contact us with details of the transfer.

The process of online application, payment of the participation registration fee, and notification of the transfer completion (confirmation of transfer details) must be completed for formal registration.

Please note that without confirmation of the payment of the participation registration fee, even if the online application process is completed, formal registration will not be completed.

Please transfer the full accommodation fee by February 14th (Wednesday).
(If the participation registration fee has not been transferred, please transfer the total of the participation registration fee and accommodation fee.)
If the accommodation fee transfer is to be made on or after February 15th (Thursday), please be sure to contact us by February 14th (Wednesday).

If there is no contact by February 14th (Wednesday) and the accommodation fee has not been transferred, it will be automatically canceled (cancellation fee will be charged), and it will be treated as a change to online participation after the camp.


If there is no contact regarding the accommodation payment by February 14th (Wednesday), and the accommodation fee has not been transferred, the accommodation will be automatically canceled (cancellation fees will apply). In this case, it will be treated as a switch to online participation.

Please note the following points:

Early check-in, late check-out fees, ski and snowboard lift tickets, and rental fees are to be paid on-site. Payment should be made at the reception upon arrival.

The fees for evening seminars will be collected on-site for in-person participants. Online participants will receive separate instructions via email.

【10】Deadline for Application:

For both on-site (※1) and online (※2) participants:

Application Deadline: February 20, 2024 (Tuesday) (※3)

※1 Regarding on-site participation, since the hotel is not exclusively reserved, if there are many applicants and all reserved rooms are occupied, additional rooms may not be available. In such a case, the deadline for application may be before February 20th. Please be aware of this possibility.

※2 The deadline is for conducting a connection test for online participants before the camp.

※3 For both on-site and online participants, registration must be completed through the form by February 20th (Tuesday), and the participation registration fee must be transferred. If either of these is not completed, your registration will not be accepted. If the payment for the participation registration fee is not received by the deadline (after February 20th), you will not be able to participate online but will be able to watch a recorded version after the camp. Please be aware of this in advance.

【11】Cancellation Fees for Accommodation:

If you have applied for accommodation but will not be participating, please inform us promptly.
Cancellation between January 28th (Sunday) and February 11th (Sunday): 10% of the accommodation fee
Cancellation between February 12th (Monday) and February 18th (Sunday): 15% of the accommodation fee
Cancellation between February 19th (Monday) and February 24th (Saturday): 25% of the accommodation fee
Cancellation on February 25th (Sunday): 50% of the accommodation fee
Cancellation from February 26th (Monday) onwards: 70% of the accommodation fee
Non-arrival: 100% of the accommodation fee

Note: In case of cancellation due to infection with the new coronavirus or influenza, cancellation fees will not apply. Please contact us promptly.

【12】Accident Insurance

All on-site camp participants will be enrolled in accident insurance, and the insurance premium is included in the participation registration fee.

Coverage includes:

Compensation for injuries due to accidents during the trip.
Compensation for damages if you cause injury to others or damage to their property due to an accident during the trip (from the start of the camp to the end of the last day of participation, covering the period from leaving home for the camp with the purpose of participation until returning home).
Coverage details:

Death or disability: 6.7 million yen
Hospitalization daily benefit: 10,000 yen
Outpatient daily benefit: 4,140 yen
Liability: 10 million yen

【13】Submission of Parental Consent Form (Only for participants under 18 years old attending in person)

For participants under 18 years old at the time of application, if the accompanying guardian or legal guardian is not present for on-site participation, an adult delegate (ideally someone staying in the same room) is requested to accompany them.

In addition, a consent form from the parent or legal guardian is required. Please check the recruitment guidelines, sign the consent form (separate sheet), and submit it by fax, email with attached image, or by mail.

【14】Information on Measures Against the New Coronavirus During the Synerugoi Camp in Hakuba

To ensure the safety of all participants during the Synerugoi Camp in Hakuba, the following measures will be implemented. Your understanding and cooperation are appreciated.

Please refrain from participating in the camp if you fall under the following:

Individuals who have tested positive for COVID-19.
If you have a fever, please confirm that it is not due to COVID-19 or influenza before participating.

[Information on Infection Control from Hotel Green Plaza Hakuba]:

Wearing a mask is at the discretion of each customer.
Employees will wear masks to ensure thorough management of health and hygiene.
Disinfectant is available in the hotel.
Disinfectant and vinyl gloves are available in the restaurant venue.
[Regarding Gatherings]:

For this edition of the Snell Goi Camp in Hakuba, the capacity of the assembly hall will return to the conventional limit. Those who wish can also participate online from their rooms.

When viewing in your room, there is no need to separately apply for online streaming, but please prepare a device with internet connectivity (such as a computer or smartphone) on your own. Please note that the Hakuba Camp Executive Committee cannot bear the communication costs of the internet. Although the hotel provides free Wi-Fi, it may be difficult to connect depending on the location or usage conditions (such as a high number of users). Please be aware of this in advance.

[Requests for Participation at the Assembly Venue]:

Temperature checks will not be conducted at the entrance to the assembly venue. The wearing of masks is at the discretion of each individual.
If you have symptoms such as fever, please participate in the assembly online from your room.

【15】Other Information

[About English Translation]:

For those participating on-site, English translation is available (using earphones). If you would like to use English translation for the online broadcast, please contact us via the inquiry form.

[About Day Trip Participation]:

For those participating on-site for a day trip, please do not enter the hotel’s accommodation floors (3rd floor and above) unless using the third-floor large bath (paid). In addition, those who do not apply for meals (paid) at the second-floor restaurant (Alps) should not enter.

While the camp is open to everyone, agreeing to the policies and requests of the Hakuba Synerugoi Camp Executive Committee is a condition for participation to ensure the safety and order during everyone’s stay. (As it is a Christian camp, alcohol and smoking are prohibited. Room assignments may not be able to accommodate all preferences.)
